Important information about cancellations and refunds

1. General Cancellation Policy

Get Cappadocia Transfer (TÜRSAB No: 14633) understands that travel plans may change. This Cancellation and Refund Policy outlines the terms and conditions for canceling bookings and requesting refunds for our services.

All cancellation requests must be submitted in writing via email to info@cappadociatravel.com or through our website contact form. Verbal cancellations are not accepted.

2. Hot Air Balloon Flights

2.1 Customer Cancellations

  • More than 7 days before flight: Full refund minus 10% administrative fee
  • 4-7 days before flight: 50% refund of total amount paid
  • 2-3 days before flight: 25% refund of total amount paid
  • Less than 48 hours before flight: No refund
  • No-show: No refund

2.2 Weather-Related Cancellations

Hot air balloon flights are highly dependent on weather conditions. If your flight is canceled due to unfavorable weather conditions:

  • You will be offered an alternative date during your stay
  • If no alternative date is suitable, a full refund will be provided
  • Weather cancellations are determined by the Civil Aviation Authority and balloon operators

3. Daily Tours and Activities

3.1 Standard Tours

  • More than 5 days before tour: Full refund minus 10% administrative fee
  • 3-5 days before tour: 60% refund of total amount paid
  • 1-2 days before tour: 30% refund of total amount paid
  • Less than 24 hours before tour: No refund
  • No-show: No refund

3.2 Private Tours

  • More than 7 days before tour: Full refund minus 15% administrative fee
  • 4-7 days before tour: 50% refund of total amount paid
  • Less than 4 days before tour: No refund

4. Transfer Services

4.1 Airport Transfers

  • More than 48 hours before transfer: Full refund minus 10% administrative fee
  • 24-48 hours before transfer: 50% refund of total amount paid
  • Less than 24 hours before transfer: No refund
  • No-show: No refund

4.2 Modifications

Transfer time or location changes are free of charge if requested more than 24 hours in advance. Changes requested within 24 hours may incur additional fees based on availability.

5. Package Deals and Multi-Day Tours

  • More than 14 days before start date: Full refund minus 15% administrative fee
  • 7-14 days before start date: 50% refund of total amount paid
  • Less than 7 days before start date: No refund

Package deals include multiple services and are subject to stricter cancellation terms due to advance arrangements with multiple service providers.

6. Refund Processing

6.1 Refund Timeline

Approved refunds will be processed within:

  • Credit card payments: 7-14 business days
  • Bank transfers: 5-10 business days
  • Cash payments: Immediate refund or bank transfer within 3-5 business days

6.2 Refund Method

Refunds will be issued using the same payment method used for the original booking. If this is not possible, alternative arrangements will be made with your consent.

7. Force Majeure and Exceptional Circumstances

In cases of force majeure events (natural disasters, pandemics, political unrest, etc.) that prevent us from providing services:

  • Full refund will be provided, or
  • Credit voucher valid for 12 months for future bookings, or
  • Rescheduling to alternative dates at no additional cost

8. Modifications and Changes

8.1 Customer-Initiated Changes

Modifications to existing bookings are subject to availability and may incur additional fees:

  • Date changes: Free if requested more than 7 days in advance
  • Service upgrades: Price difference applies
  • Participant number changes: Subject to availability and pricing adjustments

8.2 Company-Initiated Changes

If we need to make significant changes to your booking, we will notify you immediately and offer:

  • Alternative services of equal or greater value
  • Full refund if alternatives are not acceptable
  • Compensation for any inconvenience caused

9. Special Circumstances

9.1 Medical Emergencies

In case of medical emergencies preventing participation, a full refund may be provided upon submission of valid medical documentation from a licensed healthcare provider.

9.2 Flight Delays and Cancellations

If your flight is delayed or canceled, affecting your booking with us, please contact us immediately. We will make every effort to accommodate you on alternative dates or provide a refund based on the circumstances.

10. Non-Refundable Items

The following are non-refundable under any circumstances:

  • Administrative and processing fees
  • Third-party service fees (entrance tickets, permits, etc.)
  • Special promotional or discounted bookings (unless otherwise stated)
  • Services already rendered or partially completed

11. Dispute Resolution

If you are not satisfied with our cancellation or refund decision, please contact our customer service team. We are committed to resolving disputes fairly and promptly. If a resolution cannot be reached, disputes will be handled according to Turkish consumer protection laws.
